JOB DESCRIPTION: 

Executive Secretary will to provide administrative and secretarial support, effective office administration, organizing meetings, hospitality and travel arrangements as well as fielding phone calls and inquiries.

RESPONSIBILITIES: 

- Perform typing and dictation of letters, speeches and emails to screen;
- Manage all incoming and outgoing correspondence;
- Make travel arrangements;
- Support the Chief of Staff in budget monitoring and administration;
- General office management;
- Support Chief of Staff and Diary Secretary as required;
- Greet visitors and point them in the right direction, answer inquiries, and create a welcoming environment;
- Organize and maintain files and databases in a confidential manner;
- Manage communication including emails and phone calls;
- Screen phone calls, redirect calls, and take messages;
- Schedule appointments, meetings, and reservations as needed;
- Receive deliveries; sort and distribute incoming mail;
- Maintain and order office supplies;
- Receive invoices and review for accuracy;
- Coordinate staff travel arrangements including transportation and accommodations.

REQUIRED QUALIFICATIONS: 

- University degree;

Language:
- C1 Fluency in English (written and spoken);
- C1 Fluency in Armenian (written and spoken).

Experience:
- Experience providing a variety of administrative services to an office;
- Experience in providing support and advice to management on budgets;
- Relevant experience providing executive or senior level support including tasks such as:
a) Managing correspondence;
b) Writing emails and memos and completing reports;
c) Diary/calendar and resource management;
d) Managing an office, including staff supervision;
e) Tracking and reporting on budgets using an accounting system;
f) Maintaining and leveraging an effective network of contacts.

Essential qualifications, skills and experience:
- 2-3 years of substantive experience in relevant positions is preferred;
- Excellent secretarial skills, including touch and/or speed typing and proficiency with the Microsoft Office Suite;
- Excellent organizational skills and a keen eye for detail;
- Excellent written and verbal communication skills;
- Ability to multi-task and work as a team player;
- Strong interpersonal skills, including the ability to be professional, courteous and deal directly with key players;
- High school diploma or general education degree (GED) required. associate's degree in Business Administration preferred;
- 2-3 years of clerical, secretarial, or office experience;
- Proficient computer skills, including Microsoft Office;
- Strong verbal and written communication skills;
- Comfortable with routinely shifting demands;
- High degree of attention to detail;
- Data entry experience
- Working knowledge of general office equipment.
