JOB DESCRIPTION: 

Development Professionals, Inc. (DPI) is seeking to identify a Receptionist/ Administrative Assistant, for the USAID/ Armenia Justice Sector Support Project (JSSP). Preference will be given to candidates with similar successful experience with USAID projects or with international/ regional organizations. The position will be full-time and located in Yerevan, with occasional travelling to the regions as needed.

RESPONSIBILITIES:

Receptionist’s work-related duties:
- Answer telephone calls and direct them to the appropriate staff;
- Greet and assist visitors to the office;
- Provide information by answering questions and requests of office visitors;
- Maintain different office staff and partner contact lists;
- Book appointments for the Chief of Party (CoP) and the Deputy CoP;
- Make arrangements for staff meeting appointments with the CoP and Deputy CoP;
- Process incoming mail and general office filing, scanning, mailing, arranging for couriers, etc.;
- Coordinate and schedule internal and external meetings, appointments for the CoP and the Deputy CoP, as well as the Project team social events;
- Perform other duties as assigned by the COP, DCOP or their designates;
- Work collaboratively with the Project team members and the leadership.

Administrative work-related duties:
- Perform a variety of administrative and clerical activities assigned by the CoP and/ or Deputy CoP, as well as their designates;
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc. as assigned by the CoP and/ or Deputy CoP, as well as their designates;
- Provide administrative assistance needed for the implementation of the Project, including registration of participants during the Project events, helping with the administrative arrangements of the Project events as needed, both inside and outside of Yerevan;
- Help organize, set up, and clear the conference room for both internal staff meetings and meetings with partners;
- Maintain and manage off-site file storage as assigned by the CoP and/or the Deputy CoP;
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies to the designated staff member in the Project;
- Coordinate repairs to office equipment or premises, as assigned by the CoP and/ or the Deputy CoP, as well as their designates;
- Take accurate minutes of Project staff meetings and other meetings as assigned by the CoP and/ or the Deputy CoP;
- Produce and distribute correspondence memos, letters and forms;
- Conduct short written t translation of simple documents, letters, etc., as needed;
- Conduct interpretation during short meetings/ conversations as assigned by the CoP, Deputy CoP as well as their designates;
- Contribute to team effort by accomplishing related results as needed;
- Provide general administrative and organizational support to visitors of the Project.

REQUIRED QUALIFICATIONS: 

- Bachelor’s degree in Public Administration, Arts and Languages or a related field;
- At least 3 years of progressive administrative/ assistant experience in a professional working environment;
- Attention to detail and problem-solving skills;
- Excellent written and verbal communication skills, as well as administrative writing skills;
- Proficiency in MS Office;
- Strong organizational, planning and time management skills, with the ability to manage multiple tasks simultaneously;
- Ability to work within multi-national teams;
- Fluency in both English and Armenian languages (speaking, reading, and writing).
