ОПИСАНИЕ ДОЛЖНОСТИ: 
The British Embassy in Armenia is part of a world-wide network, representing British political, economic and consular interests overseas, and is now looking for an Administrative Officer/Executive Assistant.
This is an opportunity to take on a critical role in the British Embassy Yerevan. It calls for a person with excellent people skills, a flexible ‘can-do’ attitude, and with the ability to work on multiple tasks and prioritize effectively.
The British Embassy in Armenia is a small but friendly and energetic team focused on promoting links between the UK and Armenia. The incumbent will work closely with Ambassador, Corporate Services team as well as teams in the Regional Hubs. He/she also will be responsible for the Official communication between the Embassy and the Ministry of Foreign Affairs (MFA). The British Embassy is a vibrant and diverse organisation with staff recruited both locally and from the UK. Please note that this role includes time away from your desk when there is a need to attend to the practical elements of running an embassy.
ОБЯЗАННОСТИ: 
- Provide executive support for the Ambassador by acting as the initial point of contact for external stakeholders on behalf of the Ambassador, projecting a positive and professional image and ensuring a timely and accurate flow of relevant information to the Ambassador, Deputy Head of Mission, Consular and other teams within the Embassy (15%);
- Act as a first point of contact for public enquiries emails, answer telephone calls, reply/ distribute emails received via public mailbox. Ensure that a clear system is maintained to monitor progress of enquiries and to follow up with teams if necessary (10%);
- Official communication between the Embassy and the Minister of Foreign Affairs, including drafting and translating formal communication between governments (Note Verbale). An accurate record should be kept of outgoing and incoming NVs (5%);
- Estates management - plan, lead and monitor maintenance works coordinating with Technical Works Officer (TWO) based outside of Armenia. Keep maintenance-related files up to date and complete and maintain inventories. make sure Embassy properties are in line with our organisation’s stringent Health & Safety requirements, follow up on lease agreements, ensuring that they are up to date and rent payments are processed on time (20%);
- Ensure the smooth arrival and departure of UK Based Staff - together with your colleagues in the Corporate Services team, arrange the arrival and departure of diplomats, liaise with MFA to arrange the accreditation of diplomats, apply for the Diplomatic IDs for them and their dependants, assist with the purchase, registration and sale of vehicles and other related similar tasks (10%);
- Provide administrative support to the wider embassy team, arrange travel and accommodations for the embassy guests and visitors, manage office supplies and order new supplies as needed (15%);
- Support Corporate Services team in financial administration: process local payments and purchases, raise requisitions (10%);
- Update Embassy policies and forms as needed 10%);
- Act as a backup consular officer, cover for Corporate Services Officer and Programme Support Officer/ Events Coordinator during their absence (5%).
ТРЕБУЕМАЯ КВАЛИФИКАЦИЯ: 
- Effective communication, including written and spoken fluency in English and Armenian (C1 Level *) and ability to adapt communication style to different situations;
- A minimum of three years of relevant work experience, including evidence of the work in the administrative field, multitasking, engaging stakeholders, customers and partners at all levels;
- Ability and willingness to start the work at 9:00, ability to work effectively and flexibly including out-of-office hours; and to travel within Armenia and overseas occasionally;
- Ability to work under pressure and in high pace environment;
- A self-starter that can work well both individually and in a team;
- Excellent prioritisation and organisational skills;
- Willingness and desire for continual learning and development;
- IT skills, including use of MS Word, Excel and Outlook;
- Experience using an online accounting system (Oracle based system);
- Knowledge of Russian.

О ПРОГРАММЕ: 
This is full-time and permanent contract of 37 hours per week (Monday to Friday) from 09:00 to 17:00.
The gross monthly salary is AMD 689,837 paid in 12 equal installments.
The successful candidate will be subject to professional background and security clearance.
The successful candidate must have pre-existing work authorisation for Armenia in order to apply. The British Embassy does not sponsor work permits.
