JOB DESCRIPTION: 
SGMHF Intra Mental Health Centre is seeking a dynamic, organized, proactive and flexible person who will provide full administrative and secretarial support at a senior level to the Director to ensure the smooth management of the day-to-day affairs. The Assistant to the Director will complete complex administrative tasks and when needed on behalf of the Director communicate with others outside and inside the Organization. An ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks. This person must be exceedingly well-organized, highly flexible and enjoy challenges. This role is challenging but will provide a wide variety of experiences. The Organization is looking for someone eager to learn and take on ever increasing responsibilities.
RESPONSIBILITIES: 
- Assist the Director with organizational and financial administration on a daily basis;
- Act as a first point of contact, deal with correspondence;
- Organize meetings and events;
- Remind the senior managers of important tasks and deadlines;
- Compile and prepare reports, presentations and correspondence;
- Manage databases and filing systems;
- Implement and maintain procedures/ administrative systems;
- Monitor inventory of stationary and other supplies, place orders with suppliers;
- Liaise with staff and suppliers, deal with urgent needs of supplies as they arise;
- Collate and file expenses;
- Lead short-term projects and initiatives as requested by the Director;
- Assist the Director in fundraising and communication activities;
- Respect the need for confidentiality and sensitivity of information;
- Assist the Director with all other job-related assigned tasks.
REQUIRED QUALIFICATIONS: 
- Bachelor's or master's degree;
- Discretion and trustworthiness;
- Flexibility and adaptability;
- Good oral and written communication skills;
- Excellent attention to detail, accuracy and quality;
- Organizational skills and ability to multitask;
- Ability to be proactive and take the initiative;
- Tact and diplomacy;
- Proficiency with MS Office Suite, especially Word, Excel and PowerPoint;
- Good written and verbal communication skills in English language.
DESIRED QUALIFICATIONS:
- Passion and personal interest in people and providing assistance;
- Degree in Communication or Business Administration is a plus;
- Experience in social media marketing is a plus;
- Experience in fundraising is a plus.
