JOB DESCRIPTION: 

GIZ Armenia Country Office is seeking for an HR Assistant. The GIZ Armenia Country Office is responsible for the service provision to all projects implemented by GIZ in Armenia. The HR Assistant will be in a very responsible position provide support the HR Manager in performing tasks, e.g. view and assess HR documents, including applications, update personnel data electronically and on paper, prepare documents and handle HR-related service queries. The documentation and archiving of HR documents also form part of the remit.

RESPONSIBILITIES: 

- Support and assist in all related HR processes
- Manage the HR filing system in line with GIZ rules and regulations as well as RA legislation
- Support data entry and updates in SAP-HR
- Ensure accuracy, completeness, and timely processing of HR data and documentation
- Support coordination of staff access to internal systems (e.g. email accounts, Common Portal) in collaboration with relevant units
- Monitor contract durations and support tracking of contract expiries and extensions
- Support the implementation of the RA digital employment contract system
- Support and assist in GIZ onboarding processes
- Support and assist in medical insurance administration, including checking and updating general lists, processing new insurance and cancellation requests, and supporting invoicing and payments
- Support and assist in the preparation of HR-related documentation
- Support and assist in the recruitment process in GIZ Armenia
- Act as a point of contact for staff on general HR-related queries and provide administrative guidance
- Treat all information confidentially, particularly staff and financial information
- Provide administrative support and ensure continuity of HR operations by acting as a replacement for the HR Manager during absences
- Perform other duties and tasks as assigned

REQUIRED QUALIFICATIONS: 

- University degree in a relevant field (e.g. Human Resources, Business Administration, Law) or equivalent in terms of experience and/or training
- At least 1-2 years of relevant professional experience in HR administration or a similar role, ideally in an international organisation
- Familiarity with Armenian labour legislation and/or SAP is an advantage

REQUIRED SKILLS:
- Good understanding of HR administrative processes (e.g. recruitment, onboarding, documentation)
- Good working knowledge of ICT (information and communication technology), including standard office equipment, email, internet, and social media
- Proficiency in computer applications, particularly MS Office (Word, Excel, PowerPoint, MS Teams, OneNote), knowledge of SAP is an asset
- Knowledge of Armenian HR systems, including the RA digital employment contract system and relevant state e-reporting platforms, is an asset
- Strong capacities and willingness for teamwork, communication and collaboration
- Outstanding interpersonal skills and ability to network, liaise and cooperate with other members of the team; across hierarchies, across units within GIZ Armenia and GIZ globally
- Strong and keen customer and service-oriented attitude; trustworthy, reliable, open, responsible person
- Strong organisational skills with the ability to manage multiple tasks and deadlines
- Openness and willingness to upskill and reskill as required by the tasks to be performed. Corresponding measures are agreed with management
- Excellent command of Armenian and English, written and oral is mandatory, knowledge of German is an asset
- High level of accuracy and attention to detail, critical thinking and priority-setting
- Affection for working in challenging and complex environments
- Strong sense of responsibility and enthusiasm to develop and continuously improve
